Credit Card on File Policy
All legal guardians of patients are required to keep a credit card on file. When you schedule your appointment you will be required to put your credit card on file and/or verify the existing credit card on file in order to complete your booking. Upon check-in the receptionist will verify the credit card you put on file and then collect your payment for your office visit.
Please note, we are not financial mediators between separated/divorced parents. The parent that is bringing the child in for a visit will be required to remit payment for copays/deductibles/coinsurances AND put their credit card on file for any remaining statement balances from that visit. To avoid conflict and fraudulent charges, we do not allow one parent to use the credit card of another parent. Any financial arrangements between parents should be settled outside of our office.
This is becoming a more common trend in independent (ie. non-hospital based) urgent care and primary care offices. Insurance reimbursements are declining, patient responsibility amounts due to high deductibles are increasing, and consequently, practices must become more efficient in their billing practices. Just like many merchants in society (ie. hospitality services, travel, industry or any other service), we too need to be paid for our services in a timely manner.
Oftentimes, even if your visit with the provider only has a copay, lab services or other procedures performed in the office may require some level of cost sharing. It’s impossible to know all the details of every patient’s insurance policy and we must apply one universal financial policy to ensure we’re operating fairly and consistently.
We DO NOT store your credit card information on our files, computer or servers. When your credit card is swiped, much like other transactions, your information is secured on our credit card merchants servers. Your credit card information is not even displayed in full: only the last 4 digits and expiration date is visible to our staff. In today’s society, every form of payment is at risk for fraud. However, statistically, this method has the least risk of fraud.
It is not illegal for any private business to establish a financial policy that includes requiring a credit card on file. As a small business, we have the legal right to ensure that we get paid for our services. As a consumer, you have the legal right to seek care for your children at any practice.

Our credit card on file policy is mandatory for all POP NOW, LLC patients. We are eliminating timely and costly billing processes and having credit cards on file is a critical step to that end. Alternatively, you can seek same day pediatric care for your family at your PCP’s office or another practice that does not require a credit card on file.
